As a landlord, managing move-ins and move-outs can often feel like a stressful juggling act. There’s so much to handle: inspections, cleaning, repairs, security deposits, and more. But with a comprehensive checklist, you can streamline this process, protecting both your property and your tenants while ensuring everything runs smoothly.

Let me walk you through my comprehensive move-in/move-out checklist for landlords. This covers everything you need to do before and after a tenant moves in or out so you can avoid common mistakes, save time, and protect your investment.

  • Pre-move-in preparation. Before your tenant even sets foot on the property, there are several crucial steps to take.

1. Deep clean the property. Ensure your property is in top condition before the tenant moves in. A clean home sets the tone for a positive relationship with the tenant and helps avoid disputes down the road.

2. Conduct a detailed walk-through. Always conduct a walk-through with the tenant before they move in. Take clear photos of each room and document the condition of appliances, fixtures, and walls. Both you and the tenant should sign off on this inspection to avoid any confusion later.

3. Provide lease & house rules. Make sure the lease agreement is fully signed and that your tenants are aware of any house rules. Transparency upfront helps avoid issues during the tenancy.

4. Check safety features. Test all smoke detectors, carbon monoxide detectors, and fire extinguishers. These are not only vital for tenant safety, but they are also required by law in many jurisdictions.

  • Move-in day essentials. When the big day arrives, make sure the following steps are taken:

1. Conduct a move-in inspection. Perform a final walk-through with your tenant. This is the time to discuss any last-minute details, confirm that the property is ready for habitation, and clarify your expectations for the lease term.

2. Get the security deposit. Ensure your tenant has paid the security deposit, and clearly explain the conditions under which it will be returned. This transparency helps build trust and sets clear expectations for both parties.

3. Turn over keys and remote controls. Don’t forget to hand over all keys and remote controls on move-in day. Make sure your tenant receives every necessary key, garage remote, fob, and entry code to ensure smooth and secure access to the property.

4. Provide key information. Ensure the tenant receives all necessary keys, remotes, or access codes to the property, along with your contact information in case of emergencies.

  • Move-out preparation. When the lease term ends, it’s time to prepare for the move-out process. Start by ensuring that the tenant gives you the proper notice (usually 30 days) as stipulated in the lease agreement. After receiving notice, schedule the move-out inspection promptly.

1. Final walk-through. Schedule the final inspection at least a few days before the tenant vacates. During this walk-through, compare the property’s current condition with the photos taken during the move-in inspection. Document any damage that may require repair or cleaning.

2. Security deposit deductions. If any deductions are necessary from the security deposit for repairs or cleaning, ensure you provide your tenant with an itemized list of charges. This will help avoid disputes and ensure you’re complying with state laws regarding security deposits.

3. Cancel utilities & forward mail. Remind your tenant to cancel utilities or transfer them to their new address and to update their mailing address with the post office. This helps ensure there are no service disruptions or missed mail.

  • Post-move-out checklist. Once the tenant has moved out, it’s your responsibility to make the property ready for the next tenant.

1. Complete the final inspection and cleaning. Walk through the property and compare its condition to the original move-in inspection report. Take clear photos of any damage or issues that need attention, and make sure the home is thoroughly cleaned before listing it again.

2. Address any necessary repairs. Handle damage or excessive wear and tear promptly to keep the property in good condition. Determine what qualifies as tenant-caused damage versus normal wear and tear, and decide what should legally be deducted from the security deposit.

3. Return the security deposit. Within the required legal timeframe, return the tenant’s security deposit minus any allowable deductions for unpaid rent or damages. Always provide an itemized statement detailing those deductions, as required by local laws in your area.

4. Prepare the property for the next tenant. Before re-listing, confirm that everything is working properly, including appliances, plumbing, electrical systems, and safety devices. Taking the time to ensure the property is fully functional now can help avoid problems later.

These steps will minimize headaches and avoid costly mistakes. A smooth process not only ensures your property stays in good condition but also keeps your income potential strong and helps build trust with your tenants.
